Using our Matter Reporting and Grievance BOT. A Step-by-Step Guide.

We are excited to announce the success of our Matter Reporting and Grievance BOT. An addition to our digital services that has exceeded expectations. This tool has reformed how Members interact with legal matters, offering convenience and efficiency.

1.   How do I use the LegalWise BOT?

1.   Contact us via WhatsApp on 071 640 0337 and say Hi. You will then be asked to indicate whether you are a Member or not. 

2.   Anyone can use the platform but only Members can make use of our self-service BOT via the WhatsApp platform.

2. Authentication

1.   Once you have indicated that you are a Member, you will be prompted to enter your Membership Number or ID Number and contact details.

2.   Non-Members will still be assisted where possible and guided regarding their queries.

3.   For Members, an authentication process will follow - where you will be authenticated.

3.   OTP

1.   Once you have entered your details as per step 2, an OTP will be forwarded to the cell phone number and email address we have in our LegalWise system.

2.   Please always ensure that you update your Contract with your latest and most relevant personal details.

3.   The OTP will be valid for 5 minutes and will consist of a 5-digit number that you need to enter.

4.   Once you have been authenticated and answered 2 easy questions, you can either work through our Menu driven selections or you can merely make a statement or ask a question. 

4.    Menu Options

1.   You can then choose “The Report a New Legal Matter BOT” under Legal Assistance/Legal Advice or “The Query/Grievance BOT” which can be found under Legal Assistance/Labour.

5.   Report a New Matter

1.   You will be prompted by the BOT to enter relevant information. 

2.   You can attach relevant documents.

3.   Your new matter will be reported on your contract. Should you at any point prefer to speak to a Consultant, you can merely select that option. Should you be routed to a place you do not want to be, you can merely select Main Menu.

6.   Labour Law-Grievance/Query Self-Service

1.   If you have selected the Labour Law option from the Main Menu you will then see the Grievance Self-Service option.

2.   You will then receive a secure web form, where you can capture your Query/Grievance.

3.   You must then put your correct and valid 13-digit ID Number or Passport number otherwise the form will indicate an error when you press SUBMIT. 

4.   You can then type in the specifics of your Query/Grievance with as much detail as you prefer. 

5.   After you submit the form you can also print it or email it to yourself.

Should you at any point prefer to speak to a Consultant, you can merely select that option. Should you be routed to a place you do not want to be, you can merely select Main Menu.
